Who this policy covers

Synergistix Group Ltd is a commercial and industrial construction firm with a head office in Surrey, British Columbia and a regional office in Mississauga, Ontario. This policy explains what personal information the firm collects through this website, why it is collected, who else can see it, how long it is kept, and what you can ask us to do with it.

The law that applies

The Personal Information Protection and Electronic Documents Act (PIPEDA) is the federal private-sector privacy law governing how we handle personal information in the course of commercial activity. Provincial private-sector legislation — including British Columbia’s Personal Information Protection Act — may also apply to information collected and used within that province. Where obligations differ, we apply the stricter standard.

What personal information we collect

We collect only what a construction enquiry actually requires, and only what you choose to give us. Through the contact form, by email, or by telephone, that is typically:

• Your name and the company or organization you represent.
• Your email address and telephone number.
• Project details you provide — property or site location, the type of work, budget range, and timeline.
• Anything else you write into the message field, including scope notes, drawings, or documents you choose to send.

The site also records limited technical information automatically, such as the pages requested, the referring page, browser and device type, and an approximate location derived from an IP address. That information is used in aggregate to keep the site running and to understand which pages are useful.

Why we collect it

• To respond to your enquiry and answer questions about scope, delivery model, or coverage.
• To prepare a budget, estimate, or quotation, and to arrange a site visit where one is needed.
• To issue documents you ask for, such as a certificate of insurance or a workers’ compensation clearance letter.
• To keep a record of correspondence for the ordinary administration of a project or a prospective project.
• To meet legal, tax, insurance, and record-keeping obligations in British Columbia and Ontario.

We do not use your information for a new purpose without your consent, unless the law requires or permits it.

Consent

You give us personal information voluntarily. Submitting the contact form, sending an email, or calling an office is your consent to our using that information for the purposes set out above. You may withdraw consent at any time by writing to us, subject to legal and contractual restrictions and reasonable notice. Withdrawing consent may mean we can no longer respond to an enquiry or administer a project.

We do not sell your information

We do not sell, rent, trade, or licence personal information to anyone. Enquiry contacts are not added to marketing lists that are shared or sold, and your project details are not disclosed to other contractors, suppliers, or data brokers for their own purposes.

Cookies and analytics

This site uses cookies and similar technologies. Strictly necessary cookies keep the site functioning and secure. Where analytics are in use, they measure aggregate traffic — page views, referring sources, and general device information — to help us improve the site rather than to build a profile of you as an individual. Most browsers allow you to block or delete cookies, and the site remains usable if you do, though some functions may behave differently.

Third-party service providers

A small number of third parties are needed to operate this site: a hosting and content-delivery provider, a provider that delivers contact-form submissions to our inboxes, and an email provider. Each processes personal information only to provide its service to us, under terms limiting what it may do with that information.

Some providers store or process data outside Canada. Where that is the case, the information may be accessible to the courts, law enforcement, and national security authorities of that jurisdiction under the laws in force there. If you would rather not send project information through the online form, contact an office by telephone instead.

How long we keep it

Enquiries that do not become projects are kept only as long as they remain useful for following up, and are then deleted. Records connected to a quoted or delivered project are kept for as long as construction, warranty, tax, insurance, and limitation-period requirements in the relevant province call for, and are then destroyed or anonymized.

How we protect it

We apply administrative, technical, and physical safeguards proportionate to the sensitivity of the information: access limited to the people who need it to do their work, protected accounts and devices, and encrypted transmission of form submissions. No method of transmitting or storing information is completely secure, and we make no claim otherwise.

Your right to access and correct your information

Under PIPEDA you have the right to ask what personal information we hold about you, how it has been used, and to whom it has been disclosed. You also have the right to have inaccurate or incomplete information corrected. There is no charge for a straightforward request.

We will confirm your identity before releasing anything, and we will respond within thirty days of receiving a request or tell you if we need the extension the Act allows. In the limited circumstances where the Act permits or requires us to refuse — for example, where disclosure would reveal personal information about another person — we will give you the reason in writing.

How to make a request or a complaint

Send your request to the address below, marked “Privacy request”, and tell us what you are asking for in enough detail for us to locate the records. If you are not satisfied with how we handle it, you may bring a complaint to the Office of the Privacy Commissioner of Canada.

Changes to this policy

This policy may be updated as our practices, our providers, or our legal obligations change. The current version always appears on this page, and the last-updated date at the top records the most recent revision.
