How an engagement starts, who you deal with, and what Synergistix needs before pricing a project.

How do I get started on a project with Synergistix?

Start with a scope conversation. Synergistix reviews the drawings, site conditions, schedule and budget envelope, then recommends a delivery model: construction management, project management, general contracting or a maintenance agreement. A written proposal follows, setting out fee structure, general conditions, assumptions and exclusions. Work begins once the contract and insurance documentation are in place.

What information do you need to price a commercial construction project?

Drawings, specifications, the site address, the target schedule and any owner-supplied allowances. Where documents are incomplete, Synergistix prices from a defined scope narrative and lists the assumptions in writing. Existing-building work also needs access for a site walk, since concealed conditions, service shutdowns and after-hours restrictions move cost more than the visible scope does.

Does Synergistix work with property managers as well as building owners?

Yes. Synergistix works with commercial and industrial property owners, developers, and facility and property managers. Property managers typically need documented compliance before a crew reaches site, so certificates of insurance, safety documentation and site-specific procedures are issued during mobilization. Reporting is set up to suit whoever carries the reporting obligation, whether that is an owner, an asset manager or a tenant coordinator.

Who is my point of contact once construction starts?

One project lead owns the relationship from award through closeout. That person runs the site meetings, issues the monthly cost and schedule report, and answers for changes, inspections and deficiencies. Site supervision reports through the same line, so an owner is not chasing separate trades for answers. Escalation routes are named in the contract rather than improvised mid-project.

Does Synergistix take on residential construction work?

No. Synergistix Group works exclusively on commercial and industrial buildings: warehouses, distribution and manufacturing facilities, offices, retail, and multi-tenant investment property. The client base is property owners, developers, and facility and property managers. Residential construction runs on different codes, warranty regimes and buyer expectations, and staying inside commercial and industrial work keeps the trade base and safety programme consistent.

What services does Synergistix Group provide?

Synergistix Group provides four service lines: construction management, project management, general contracting, and interior and exterior maintenance. All four serve commercial and industrial property in British Columbia and Ontario. Owners can engage a single line or combine them, for example general contracting on a base building followed by an ongoing maintenance agreement once the asset is in service.

Does Synergistix handle industrial warehouse construction management?

Yes. Synergistix runs construction management on industrial buildings including warehouses, distribution centres, manufacturing plants and light industrial units. That work covers preconstruction, trade tendering, dock and door packages, slab tolerances, racking coordination, mechanical and electrical scope, and phased handover where operations continue during construction. Both the Surrey and Mississauga offices deliver industrial work.

What is the difference between construction management, project management and general contracting?

General contracting puts one firm under a fixed price with the trades subcontracted beneath it. Construction management engages the builder early on a fee basis, with trade pricing open to the owner and a guaranteed maximum price set at buyout. Project management represents the owner across design, consultants, permitting and construction without holding trade contracts.

Does Synergistix do tenant improvements and commercial fit-outs?

Yes. Tenant improvement and fit-out work is delivered under general contracting or construction management, depending on how firm the drawings are. Scope typically covers demolition, partitions, ceilings, flooring, millwork, washrooms, mechanical and electrical alterations, life-safety devices, and permit coordination with the municipality and the landlord. Work in occupied buildings is scheduled around tenant hours and building rules.

Can Synergistix take a project on a design-build basis?

Yes. Under design-build, Synergistix carries design and construction under one agreement, so the owner holds a single contract and a single point of accountability for both. Consultants are engaged and coordinated by the contractor, budget and design decisions are tested against each other early, and the schedule compresses because trade procurement can start before drawings are fully complete.

Can construction be done while my building stays open and operating?

Yes. Phased construction in occupied and operating buildings is standard commercial and industrial practice. Work is sequenced into zones with hoarding, dust and noise control, temporary life-safety provisions, protected egress routes, and shutdowns booked outside operating hours. The schedule is built around tenant access, shipping and receiving windows, and production runs rather than around the trades’ convenience.

Safety, Insurance & Compliance

WorkSafeBC and WSIB standing, COR certification, insurance certificates, and provincial licensing.

Is Synergistix registered with WorkSafeBC?

Yes. Synergistix Group holds WorkSafeBC registration for its British Columbia operations, which is the provincial authority covering workers’ compensation and occupational health and safety in BC. Owners, developers and property managers can request confirmation of standing before work begins. Ontario projects are covered separately under WSIB, since each province administers its own workers’ compensation system.

Does Synergistix have WSIB coverage for projects in Ontario?

Yes. Ontario work is covered by WSIB, the Workplace Safety and Insurance Board, which administers workers’ compensation for the province. Clearance information can be provided to owners and property managers before mobilization, and subcontractors are screened for their own standing at prequalification. British Columbia work runs under WorkSafeBC instead, because coverage does not transfer between provinces.

What does COR safety certification mean and does Synergistix hold it?

COR, the Certificate of Recognition, is a safety certification awarded after an external audit of a contractor’s health and safety management system. Synergistix Group holds COR certification. It means the safety programme is written, implemented and audited rather than claimed: hazard assessments, orientations, toolbox talks, inspections, incident investigation and corrective action all have to be documented and verifiable.

Can you provide a certificate of insurance before work starts on my property?

Yes. Synergistix Group is COI-ready, meaning certificates of insurance are issued to property managers and developers as part of mobilization rather than chased afterwards. Requirements vary by building, so the certificate is prepared to match the limits, additional insured wording and coverage types named in the contract or the property management agreement before any crew attends site.

Is Synergistix licensed and insured in both British Columbia and Ontario?

Yes. Synergistix Group is licensed and insured in both British Columbia and Ontario. BC operations carry WorkSafeBC registration and Ontario operations carry WSIB coverage, with COR safety certification applied across the firm. Working under two provincial regimes means compliance documentation is maintained for each jurisdiction separately rather than assumed to carry across the country.

Does Synergistix work in Metro Vancouver and the Fraser Valley?

Yes. The Synergistix head office is in Surrey, British Columbia, and covers Metro Vancouver and the Fraser Valley. That includes Surrey, Vancouver, Burnaby, Richmond, Delta, Langley and Abbotsford, across commercial and industrial property. Being based in Surrey puts supervision inside the same region as the trade base, which matters most on service calls and short-duration work.

Does Synergistix have an office in the Greater Toronto Area?

Yes. Synergistix operates a second office in Mississauga, Ontario, serving the Greater Toronto Area and Peel Region. Coverage includes Mississauga, Brampton, Toronto, Etobicoke, Vaughan and the surrounding industrial corridors. Ontario projects are run by that office under WSIB coverage and Ontario construction legislation, with the same delivery models and reporting used in British Columbia.

Does Synergistix self-perform the work or subcontract it?

Both. Synergistix carries directly supervised crews for maintenance, minor works and site logistics, and subcontracts specialty trades such as mechanical, electrical, structural steel and roofing to prequalified firms in each province. Subcontractors are screened for provincial workers’ compensation standing, insurance limits and comparable completed work before bids are accepted, in British Columbia and Ontario alike.

Can Synergistix manage a property portfolio with sites in both British Columbia and Ontario?

Yes. Portfolios spanning both provinces are handled through the Surrey and Mississauga offices under one agreement, one scope of work and one reporting format. Each site is delivered under the compliance regime of its own province, WorkSafeBC in British Columbia and WSIB in Ontario, while the owner receives consolidated scheduling, cost reporting and documentation across every location.

Budgets, Pricing & Contracts

How projects are priced, which contract forms are used, and how payments and changes are handled.

How does Synergistix price a commercial construction project?

Pricing follows the delivery model. General contracting is quoted as a stipulated sum against complete drawings. Construction management is quoted as a fee plus general conditions, with trade pricing open to the owner and a guaranteed maximum price set once buyout is substantially complete. Project management is quoted as a fee tied to a defined scope and duration.

What contract forms does Synergistix use on commercial projects?

Synergistix contracts on standard CCDC forms used across Canadian commercial construction, most often the stipulated-price agreement for general contracting and the construction management forms where the owner engages a manager on a fee basis. Standard forms matter because payment terms, change procedures, insurance obligations, warranty periods and dispute resolution are already defined and familiar to owners, lenders and consultants.

What should a commercial construction budget include beyond the trade pricing?

A complete budget carries more than trade costs. It should include general conditions and site supervision, permits and municipal fees, consultant and design costs, testing and inspection, temporary services, security and hoarding, contractor fee, and a contingency sized to how firm the drawings are. Early budgets on incomplete documents carry larger contingencies than budgets built from tendered trade pricing.

How do progress payments and holdback work in British Columbia and Ontario?

Both provinces run monthly progress billing with a statutory lien holdback retained from each payment and released after the prescribed period. British Columbia work follows its builders lien legislation, while Ontario work follows the Construction Act, which also sets prompt-payment timelines and adjudication for disputed amounts. Draw schedules, backup documentation and lien declarations are set at contract signing.

Why do construction costs increase after the contract is signed?

Cost increases after signing usually come from four sources: owner-directed scope changes, concealed conditions found in existing buildings, design documents that were incomplete at tender, and permit or code requirements imposed during review. Each is priced and approved in writing before the work proceeds. Firm drawings, an early site investigation and a realistic contingency are the practical defences.

Maintenance Programmes

What preventive and reactive maintenance covers, and how multi-building agreements are run.

What is included in a commercial preventive maintenance programme?

A preventive maintenance programme is a scheduled plan of recurring inspections and servicing set against each building asset. Typical scope covers interior finishes, doors and hardware, lighting, washrooms, roof and drainage inspection, exterior envelope, parking areas, and coordination of mechanical and life-safety servicing. Findings are logged with photographs so repairs are planned against budget instead of discovered as emergencies.

Can Synergistix maintain several buildings under one maintenance agreement?

Yes. Multi-building portfolios run under one agreement with a single intake point, one scope of work and consolidated reporting by site. Each property keeps its own asset list, inspection frequency and budget line, so a property manager can compare spend across the portfolio. Sites in British Columbia and Ontario are served from the Surrey and Mississauga offices respectively.

What is the difference between preventive maintenance and reactive repairs?

Preventive maintenance is scheduled work performed on a set frequency to keep building components serviceable. Reactive repair is unplanned work triggered by a failure, a tenant complaint or a safety issue. Preventive work is budgeted, planned and performed in normal hours. Reactive work is priced at the time, often at premium rates, and interrupts building operations.

Does Synergistix handle exterior maintenance such as parking areas and building envelope?

Yes. Exterior maintenance covers parking areas and line marking, curbs and walkways, bollards and dock equipment, fencing and gates, exterior lighting, signage, drainage and catch basins, roof and envelope inspection, sealant and cladding repair, and pressure washing. Work is scheduled around tenant access, shipping traffic and seasonal conditions, and larger envelope repairs are packaged as defined projects.
